Waveloom for people who run healthcare operations

For the person running a clinic, a practice's back office or a health-tech startup. Waveloom sorts the operational inbound so the few things that need you get a card. It is not a clinical tool and never touches patient records.

This page is for operators, not clinicians. If you run a clinic, a practice's back office or a health-tech company, your day is vendors, payers, partners, recruiting and regulators, all arriving in the same inbox as everything else. That is what Waveloom reads.

To be clear up front: Waveloom is not a clinical tool. It does not connect to an EHR, does not read patient records, and should not be pointed at anything containing patient data. It reads the business side.

What your inbound looks like

A billing vendor asking you to confirm a renewal. A payer policy update buried in a newsletter. A practice manager candidate following up for the second time. A device supplier saying a delivery slipped. A partner clinic asking about referrals. Your ops lead's Slack question, unanswered since yesterday.

Most of it is information. A few items each day need a decision or a reply from you specifically.

Sources you would connect

Gmail for the vendor, payer and partner traffic. Slack for the internal ops channel. Google Calendar so meeting changes show up in the feed and the brief. Notion or Linear if your team tracks projects there. HubSpot if you run a health-tech sales pipeline.

Web watches for things you check by hand today: a regulator's guidance page, a competitor clinic's pricing, a question like "telehealth reimbursement changes in my state."

Example cards

These are invented, but they are the shape of what you would see.

Needs you. "Billing vendor contract auto-renews Friday at a 12% increase. You flagged cost review in Q3." Below it, a draft reply asking for the old rate for another year. You edit, approve, or decline.

Needs you. "Practice manager candidate followed up twice, no reply in 6 days." Draft proposes two times; you change them if they don't work. Nothing is sent until you say so.

Discovery. "Watch: telehealth reimbursement. State board published a rule change this week that affects your remote follow-ups." One card, one link, no reply needed.

What it will not do for you

It will not read charts, schedule patients, handle intake, or touch anything covered by a patient privacy obligation. It will not send a message on its own. It executes two background actions, reply by email and reply in Slack, and only after you approve the exact text. It is not a compliance product and does not make you compliant with anything. If your operational inbox is mixed with patient communication, keep that account out of it.

Where this stands
